FF&E Procurement Officer

THE ROLE

Purpose of Position            
Assist in the implementation and management of best practice procurement processes and systems for FF&E. Assist in developing and implementing FF&E procurement strategy.

Duties & Responsibilities  
  • To assist in the implementation and management of best practice procurement systems for FF&E;
  • Assist with the selection and management of FF&E procurement agents and their processes;
  • Assist with management and coordination of FF&E and Quality Control Specialists;
  • Bid, negotiate purchase and expedite FF&E in the most economical and efficient way possible.
  • Research market for new/alternative sources of supply, do the comparative analysis on suppliers and determine fit;
  • Assist with the management of the tender process:
  1. Select vendors and monitor bidding procedures including delivery/installation schedules.
  2. Negotiate trade discounts, payment terms and merchandise availability for current and or future projects.
  3. Preparing Tender documentation & accepting and processing tender documents.
  4. Tender Analysis, Evaluation and Clarification.
  • Maintain updated project reports and track projects to completion
  • Site visits and supervising as & when required.
  • Develop and maintain list of preferred/recommended vendors for our Client.
  • Assist in budget planning for projects.
  • Develop quality control policies and procedures.
  • To act as procurement representative in respect of all procurement support services to procurement and other departments;
  • To apply and promote sound commercial practice and to enforce commercial policy and procedures;
  • Drive continuous improvement within the Procurement systems;
  • Establish, control and maintain the Vendor quality and master data management systems within Procurement.
  • Develop a co-operative environment where the Procurement agent, designers and operators act in the best interest of the owner.
  • Faster good internal customer relationships and user friendly processes.
 
MINIMUM QUALIFICATION - EXPERIENCE – TRAINING
 
Qualifications Required     
Relevant commercial or technical Degree at Recognized University / College or equivalent.
 
Experience Required         
  • 4-5 years.
  • In depth knowledge of the supply market for FF&E.
  • Understanding of hotel operations.
  • In depth knowledge of procurement policies and procedures necessary.
  • Knowledge of related product design and manufacturing processes
